Job Title: Practice Manager
Division: Permanent - Support
Working Hours: 08:30 - 17:30, 3 days per week

Job Description:
Specific Tasks & Duties:
1. Patient Management
- Oversee the complete patient journey, ensuring high-quality service from initial contact to follow-up visits.
- Actively engage with patients, understanding their needs and addressing concerns to enhance patient experience.
- Maintain strong connections with the local community to support patient engagement.
- Regularly review and optimise patient access to treatments, managing appointments, clinical support, and referrals effectively.
- Handle patient complaints professionally, ensuring swift resolution according to protocol.
- Ensure compliance with Data Protection Act regarding patient records, maintaining confidentiality and accessibility.
- Manage patient payments, ensuring accuracy and adherence to financial policies.
2. People Management
- Foster a motivated and engaged team environment, ensuring each member reaches their potential.
- Ensure understanding and adherence to company policies on recruitment, induction, performance, and absenteeism.
- Provide necessary training and support to colleagues, ensuring high standards of service.
- Efficiently manage resources, including staff rotas, locum cover, and compliance documentation.
- Share practice information through regular communication and support neighbouring practices as needed.
- Create a supportive environment for clinicians to grow their business.
3. Practice Management
- Conduct monthly practice meetings and contribute to broader operational meetings and workshops.
- Ensure practice equipment and supplies are well-maintained and available to support uninterrupted service delivery.
- Oversee reception operations, ensuring first-class service, effective appointment management, and patient communication.
- Manage clinical systems to maximize business opportunities, addressing any issues promptly.
- Oversee stock ordering and ensure accurate financial management, including banking and invoice approvals.
- Ensure the practice environment is safe, clean, and professional, complying with all relevant regulations.
4. Performance Management
- Deliver on revenue and EBITDA targets, maintaining tight control over expenditure.
- Develop and implement strategies to support practice growth in line with broader business objectives.
- Analyse KPIs to identify opportunities for revenue and profitability improvement.
- Drive marketing activities to increase patient numbers, treatments, and revenue.
- Ensure all practice colleagues understand and work towards annual bonus objectives.
- Maintain accountability for the practice budget, managing spend and ensuring timely reporting.
