Job Description: Practice Manager/Office Manager for Specialist Orthodontic Practice

Position: Practice Manager/OfficeManager

Location: Co Cork

Employment Type: Full-Time

They are seeking a highly skilled and dynamic Practice Manager/Office Manager to oversee the daily operations of the practice, ensuring the highest standards of service, efficiency, and patient satisfaction.

Key Responsibilities:

  • Staff Management:
    • Lead, manage, and motivate a team of dental professionals, including associates, orthodontic specialist, dental nurses, and administrative staff.
    • Oversee staff scheduling, performance evaluations, and professional development.
    • Handle recruitment, onboarding, and training of new employees.
  • Human Resources:
    • Ensure compliance with employment laws and regulations.
    • Manage employee relations, addressing any issues or concerns promptly and effectively.
    • Maintain and update HR policies and procedures.
  • Practice Operations:
    • Oversee the day-to-day operations of the practice, ensuring smooth and efficient workflow.
    • Implement and monitor operational policies and procedures.
    • Manage inventory, supplies, and equipment maintenance.
  • Financial Management:
    • Prepare and manage the practice's budget, ensuring financial targets are met.
    • Oversee billing, collections, and financial reporting.
    • Implement cost-saving measures and identify opportunities for financial growth.
  • Patient Care:
    • Ensure exceptional patient care and satisfaction by maintaining high service standards.
    • Address patient concerns and complaints in a professional and timely manner.
    • Implement and monitor patient care protocols.
  • Marketing and Business Development:
    • Develop and execute marketing strategies to promote the practice and attract new patients.
    • Manage the practice's online presence, including website and social media platforms.
    • Organize and oversee community outreach and promotional events.
  • Compliance and Safety:
    • Ensure compliance with all healthcare regulations and standards.
    • Oversee infection control procedures and ensure a safe environment for patients and staff.
    • Conduct regular audits and risk assessments.

Requirements:

  • Proven experience as a Practice Manager or similar role in a dental or orthodontic practice.
  • Strong leadership and team management skills.
  • Excellent organisational and multitasking abilities.
  • In-depth knowledge of dental practice operations and administrative procedures.
  • Proficiency in dental practice management software.
  • Strong financial acumen and experience with budgeting and financial management.
  • Excellent communication and interpersonal skills.
  • Knowledge of HR practices and employment law.
  • Marketing experience, including digital marketing and social media management.
  • Ability to handle confidential information with discretion.
  • Bachelor's degree in Business Administration, Healthcare Management, or a related field preferred.
